SCANNING BUREAU

Scanning Services fall into two main categories:

 • Scanning of large backlogs of documents for upload into target Document Management Software systems.

 • Scanning on a regular scheduled basis for clients who opt to outsource this particular business requirement.

Document Management can be outsourced to DATASTOR. Flexible options are provided by DATATSTOR so clients can choose to outsource the scanning of their archived documentation. No task is too large or too small for our bureau.

DOCUMENT SCANNING

BOOK SCANNING

A normal desk top flatbed scanner could be used, but that is essentially rather like a photocopier.  A book or document needs to be laid down flat on the glass surface. That's where the handling problems begin.  A book needs to be pressed down flat, and that can very easily cause damage to the spine and bindings. Handling a 500 page book 500 times doesn't help much either.   So we take a totally different approach.  A system whereby the book or document is not in contact with the scanner.  Essentially, it is rather like using a camera to take a photograph of the book or document.  Books can be scanned in to any format including Adobe PDF, Tiff etc.  We want to do things in the best possible way, and by using the very latest technology.  If a job is worth doing, then let's do it well.



SCANNING DRAWINGS

We will create top quality CD-ROMs from technical, architectural and engineering drawings, up to A0 size. Complete with index, drawing number and embedded retrieval software.



CANON CONVERSION

For existing users of the Canofile 250 or 510, we can convert the optical disks to Canon's Scanfile system for you. We offer a Canofile Optical disk conversion service to CD-ROM. The CD-ROMs made are an exact replica of the original optical disk and emulate the Canofile's cell structure. This effectively coverts the proprietary Canofile format to the industry standard Group 4 TIFF. The CD-ROMs that are produced are self supporting and fully searchable. You can also have inexpensive backup copies of your new CDs

The main benefits of this Optical Disk conversion are

1.  The CD-ROMs can be readily accessed from a PC
2.  The optical disk can be reused after conversion

This service is the effective way forward for customers who need to convert their library of Canofile disk to a more open system. Ensure that you retain all your information but still get the benefits from up to date technology. The conversation can be also made to ASCII format.


CONVERTING APERTURE CARDS TO CD-ROM

We are also able to convert microfilm aperture cards to a digital format and include retrieval software.

Microfilm libraries can be scanned and transferred to a digital format so that all your files can be accessed on PC. The same service is available for magnetic data.

SCANNING PAPER TO PDF FORMAT

Adobe Acrobat and its underlying PDF (Portable Document Format) technology have set the standard for digital document exchange, allowing documents to be shared between computer users with different operating systems, application and fonts while preserving the exact layout and design of the original document.

PDF is now to be found in a wide range of environments, from corporate servers to CD-ROMs and Web sites, both in commercial organisations and government institutions. Its uses range from internal document communication and archiving to a proofing medium and even a final format for commercial printing. Acrobat is the universal tool for document communication in the widest range of situations and our scanning bureau provides a PDF conversion service.


SECURE DISPOSAL OF PAPER

For those documents which required a high level of confidentiality, we arrange for a document destruction unit to be parked directly outside our premises, while all of your sensitive documents are shredded on site.  You will then receive a “Certificate of Destruction”, a legal document, which certifies your documents have been securely disposed of.  Our business is to also ensure that no one knows yours.









SCANNING PAPER TO TIFF or ASCII FORMAT

Should you wish to provide your own indexing, we at Datastor can scan paper and supply the documents in either a TIFF or ASCII format.
